Administrative Assistant (Contract-to-Hire)

Company Overview:

A well-established organization in the human services field is seeking an experienced Administrative Assistant to support its management team. The company operates across multiple locations and serves a broad population.


Position Summary

This role provides comprehensive administrative support to members of the management team. The position requires strong organization, attention to detail, and the ability to manage multiple priorities in a fast-paced environment.


Key Responsibilities

  • Provide administrative support to directors, managers, and departmental leaders
  • Prepare, edit, and proofread correspondence and internal/external communications
  • Manage assigned projects and complete tasks accurately and on time
  • Review incoming requests and offer solutions or recommendations when appropriate
  • Prioritize and manage email communication (role is not heavily phone-based)
  • Attend meetings and capture detailed notes and minutes
  • Update and maintain spreadsheets; ensure accurate data entry and formatting
  • Coordinate office supply purchasing:
    • Conduct weekly supply inventories across multiple floors
    • Place orders, track deliveries, and review invoices
    • Ensure spending stays within budget
  • Maintain office equipment (printers, copiers, workstations)
  • Provide occasional backup phone coverage and greet visitors as needed
  • Sort, process, and distribute incoming/outgoing mail and monitor electronic fax inbox
  • Support various department-wide projects, research tasks, and general administrative functions
  • Collaborate effectively within a large, diverse team while maintaining professionalism

Requirements

  • 2-3+ years of administrative support experience, including support for upper-level management
  • Proficiency with Microsoft 365 (Outlook, Teams, Excel, Word)
  • High school diploma or GED
  • Excellent organizational, time-management, and decision-making abilities
  • Strong written and verbal communication skills, including transcription and minute-taking
  • Experience with office management tasks such as ordering supplies, coordinating events, or booking travel
  • Ability to work independently, prioritize multiple demands, and adapt to changing needs
  • Strong interpersonal skills to work effectively across all levels of an organization

Role Details

  • Pay: $23-$25/hr, depending on experience
  • Schedule: Monday-Friday, 8:00 AM-4:30 PM
  • Location: 100% onsite
  • Type: Contract-to-hire (conversion after approximately 6 months)
